View Detailed Transaction History and Apply Advanced Filters
The Transactions page in Phoenix provides complete visibility into every payment event across your stores. From this page, you can review approvals and declines, investigate customer billing issues, navigate to related orders and customers, and export transaction data for reporting or reconciliation.
This guide provides an overview of everything you can do on the Transactions page and how to use its tools effectively.
Use Cases
Investigating Declined Payments
Users can search by Response Code, Card Brand, or Reason Message to determine the cause of the decline and communicate the proper solution.
Reconciling Transactions With Store Orders
Users can filter by Shopify Order ID, WordPress ID, Billing Cycle, or Merchant Account to quickly compare Phoenix activity against ecommerce systems and processor logs.
Locating a Specific Customer Transaction
Users can filter by customer email, name card digits, and other criteria to locate specific transactions.
Access the Transactions Page
Follow these steps to view your transaction history:

Log in to your Phoenix Dashboard.

From the left navigation menu, click Transactions.

Select a Client or Store if your account manages multiple brands.
The transaction table automatically displays the most recent activity.
Each row represents a payment attempt and may include details such as response status, customer information, processing data, and transaction type.
Understand Transaction Details
Each transaction row can display the following information, depending on availability:

Response code and response description
-
Gateway processor and merchant account
-
Order ID and customer details
-
Time taken and IP address
-
Transaction type, such as direct sale, renewal, refund, chargeback, or trial
This information gives you full visibility into how payments are processed and where issues may occur.
Navigate to Orders and Customers
The Transactions page is not only a reporting tool. It also allows you to quickly navigate to related records for deeper investigation.
You can click directly on linked values within the transaction table:

Order ID Opens the associated order so you can review order details, fulfillment status, and related billing activity.

Customer ID or Customer Email Takes you to the customer profile, where you can review subscription status, billing history, and saved payment methods.
Use this navigation to move seamlessly between transactions, orders, and customer records without leaving the dashboard.
Filter and Refine Transactions
Phoenix provides powerful filters to help you narrow results and focus on specific activity. Filters apply directly to the transaction table and can be combined as needed.
Date Range
Use this filter to analyze transactions within a specific time period, identify billing spikes, and validate subscription cycles.

Use this filter to verify transaction volume and payment behavior during a targeted time period.
Card Brands
Use this filter to compare performance across card networks and detect brand-specific failures, fees, or decline trends.

Card Brand AvailabilityThe available card brands may vary depending on the merchant configuration.
Response Code
Use this filter to pinpoint the exact reason a transaction was approved or declined using the processor’s numeric values.

Click the Filter icon.

Go to the Response Code field and enter a single numeric code (e.g., 100, 200, 204, 300, 430).

Click Apply Filter.
Processor-Level CodesResponse Codes vary by gateway. Phoenix displays the exact numeric value returned by the processor to avoid masking or altering the information.
Use this filter to troubleshoot declines accurately without guesswork or relying on error summaries.
Response Message
Use this filter to identify transaction results through readable descriptions instead of numeric processor codes. It helps support teams spot issues quickly without interpreting technical values.

To apply the response message filter:

Click the Filter icon.

Go to the Response Message field and enter the response message text.

Click Apply Filter.
Use this filter to investigate recurring response patterns and verify what the customer’s bank or gateway reported.
Customize Transaction Table Columns
You can customize the transaction table to focus only on the data most relevant to your workflow.
From the Transactions page, you can adjust which columns are visible to reduce noise and improve clarity when reviewing large volumes of transactions.
Use column customization to tailor the table for support investigations, financial reconciliation, or risk analysis.
Export Transaction Reports
Phoenix allows you to export transaction data for audits, reconciliation, or offline analysis. Exported data reflects any filters applied to the table.
To export transactions:

Apply the filters you want to use.

Click Export as.
Download the file for external review or sharing.
Exports are commonly used by finance teams, accountants, and external partners who need access to transaction-level data.
Review Historical Transactions
Use the pagination controls at the bottom of the table to navigate older transactions. This allows you to review both recent and historical activity without exporting data.
You can monitor long-term trends, validate billing cycles, and support customer inquiries directly from the dashboard.
